Title: Production Coordinator / Office & Operations Manager

Position Overview: A Japanese TV animation/video/audio production team with a wide range of projects in a fast-paced production environment is looking for an experienced production coordinator who can handle multiple projects with ease, prioritize and solve problems independently to keep all projects on schedule, under budget and according to client specifications, while maintaining the company reputation and brand.

Reporting Relationships:

  • This position reports to the Producers and Directors of each respective project, as well as the Executive Producer, President and COO.
  • This position is responsible for leading and overseeing the vendors, contractors and talent hired for each project.

Requirements & Qualifications:

  • Exceptional communication skills and ability to give clear, concise team direction.
  • Practical knowledge and clear understanding of each step in the television/video/audio production process, including the roles of all staff and talent.
  • Must be attentive to detail, especially when handling administrative tasks and expense reporting.
  • Must be exceptionally organized and calm under strict deadlines, and forward thinking to circumvent production problems and reduce costs whenever possible.
  • Must be a native English speaker with Japanese listening, reading and writing minimum JLPT Level 2, or native Japanese speaker with English listening, reading and writing minimum EIKEN Level 2.

Roles & Responsibilities:

  • Manage vendors, contractors and talent to ensure the deliverables are on time and to specifications, including filing and invoicing.
  • Coordinate and manage incoming deliverables related to each project, keeping record of any version notes and approvals while eliminating overages wherever possible.
  • Arrange meetings as required, keep agendas for meeting on task and productive, eliminating downtime for talent wherever possible.
  • Maintain good communication outside the team, with clients, vendors, and talent to ensure the production goes smoothly and to the agreed upon specifications.
  • Manage the physical production space, to keep supplies in stock and files in order.
  • Support the Producers and Directors, as well as other office staff as needed to keep all productions running smoothly.
